A safe checklist for converting office and media files

What to verify before and after converting PDFs, pictures, spreadsheets, audio, or ZIP files.

Work on a copy

Preserve the original file and convert a duplicate. This matters most with source material that is hard to recreate, such as scanned documents, family pictures or exported business records. A new extension does not guarantee the file data has been converted.

Choose the output based on the next step

Use PDF when page layout matters, CSV when editable records matter, JPG for broad image compatibility and WAV when an editor expects an audio container. Each output has tradeoffs: JPEG is lossy, CSV discards formatting and an image-based PDF lacks selectable text.

Validate more than the filename

Check the opening program, page count, data row count, duration, orientation, readability, and a few edge cases. The most important test is opening the result in the actual receiving application or upload system.

Understand privacy and third-party resources

Most of SuiteOfficeLab's editor operations use browser-side code, but site assets, advertising code, media codecs and archive search can involve outside services. Don't assume a website is suitable for highly sensitive files without reviewing its privacy notice and your organization's data-handling rules.
